Ajax, ON Council Decision Dashboard simplifies project management and tracking by town departments

The Council Decision Dashboard is an interactive resource shaped by eight years of town council motions. An overview page visualizes council motion types, outcomes, and statuses by year and department. This internal dashboard helps department heads plan budgetary and staff requests, while town leaders can monitor project progress. Ajax developed the dashboard as part of a data visualization initiative that also produced a fire incident map and a snow removal app.

Bloomington, IN starts interdepartmental jobs board

How might we better distribute the work to be done across all departments instead of mandating that the work of one department be done only by its own team? The City deiced to use Trello, a platform already in use, to advertise discrete tasks, indicate when a task had been claimed, and also indicate when a task had been completed. The project took less than 3 days to implement. Because this tool leveraged technology with which the departments were already familiar, adoption was quick and easy.

Grenoble, ARA developed the DAMME procedure which pools event materials for local associations

The city of Grenoble partnered with the association Retour de Scène to develop the "Dispositif Associatif de Mutualisation de Materiel Evenementiel" (DAMME). The DAMME procedure provides associations with the technical means to carry out their local projects by pooling logistical and event materials. Participating associations contribute to the maintenance costs of equipment which gives them the opportunity to borrow materials such as tables, signage, structures, catering equipment, etc.

Canterbury Bankstown, NSW fosters continuous improvement with Business Improvement Champions pilot

Ten City Assets employees interested in business improvement were selected by their managers for the six-month pilot. BIC participants learned about Lean Six Sigma principles during training sessions. The program included one-on-one coaching by business professionals on how to translate these lessons into the workplace. Final projects related to City Assets functions showed employee progress in the program and seeded a culture of business improvement.

Montgomery County, MD recruits civic design volunteers for Design By People fellowships

Designers, project managers, and other fellows spend four months responding to current issues facing the county. Prospective participants fill out forms demonstrating their local government experiences and interests in helping Montgomery County. Design By People fellows work with the county's innovation team on real-world solutions rather than ideas. The current cohort will address growing wait times facing 311 callers during a summer spike in COVID-19 cases.

Pulse Project Management Module required little customization or training as it easily integrated with the existing financial system. Council teams swapped spreadsheets for data management processes that work across departments. Single-site licenses along with a centralized storage structure reduce permission and access challenges.

Earned Value Management (EVM) uses budgets, schedules, and daily data to track a capital project's health. Stakeholders review maps and graphs on a single page that summarizes progress in objective terms. Council planners and developers use EVM to anticipate cash flow challenges, project changes, and remedial steps needed to stay on track. Port Phillip plans to expand EVM use to city services thanks to early successes and limited resources necessary for expansion.

Nanaimo, BC creates its own project management software to oversee projects across departments

CityProjects was first introduced to the city's Engineering Department. This software integrates city-specific budget, planning, and code restraints into each project. Nanaimo can scale software features up or down to provide one tool for projects ranging from traffic signals to housing developments. CityProjects will be introduced to every city department for streamlined project updates.
